What good camping software has to do today
Most campsites run on a stack of separate tools: a booking system, a till from another vendor, an Excel for the annual pitches, an accounting package and a folder of registration forms. Each piece works; nothing talks to the others, and reception types everything twice.
Grondia turns that into one platform with one guest, one folio and one calendar. A booking from the website is in the front desk immediately, a loaf from the camp shop lands on the pitch’s folio, tourist tax is calculated per night and the invoice is ready for your accounts. What you close at the end of the day balances, because nothing was ever out of step.
Online booking on your own website, with no commission per booking
Guests pick their exact pitch on an interactive map of your grounds. Touring pitches, motorhome bays, chalets, safari tents and annual pitches sit on the same map as bookable units, each with its own rates, minimum stays and rules.
Every booking locks its pitch the instant it is confirmed. The website, the front desk and channels such as Booking.com, ACSI and Pitchup read one shared availability, so a pitch sold anywhere is gone everywhere. And the guest stays on your site: from your photos to a paid booking by iDEAL, card or PayPal, without a detour through a third-party page. Grondia charges no commission per booking.
Annual pitches, seasonal pitches and meter readings
A site with annual pitches is a different business from a purely touring site, and the software has to understand that. In Grondia an annual or seasonal pitch is its own contract on the map, with a yearly invoice, automatic renewal, a deposit and the terms you agree with the pitch holder.
Electricity and water meter readings go on the guest’s invoice and are settled at your tariff, with no separate bill in a separate program. Annual pitches pay by SEPA direct debit or invoice; tourists settle by iDEAL or card at the terminal.
Front desk, till and barriers on the same guest folio
Reception works from the same map as the website: drag a booking to another pitch, extend a stay, block a row for maintenance. Guests can check in online beforehand, fill in their guest-register details themselves and arrive with a digital guest card on their phone.
The till is part of the platform, not a separate device. Camp shop, snack bar, rentals and activities charge to the pitch’s folio, with VAT per item and an end-of-day close that matches the payment terminal. Grondia is the payment provider itself, so the terminal posts straight to the folio. Number-plate barriers open for checked-in, paid guests; Nuki and Salto smart locks follow the booking; EV charging can be settled on the folio.
Tourist tax, the guest register and your accounts
Every Dutch municipality levies tourist tax differently: per person per night, a flat amount per pitch or a percentage, with exemptions for children or annual pitch holders. You set your municipality’s rules once; Grondia applies them to every stay and produces the periodic statement your municipality needs, with the underlying overnight stays attached.
The statutory guest register is filled from check-in and kept for the legal retention period with an audit trail, and the overnight figures Statistics Netherlands asks for come from the same data. Invoices and payments flow on to your accounts: Exact Online, Twinfield, e-Boekhouden.nl or a CSV export for your accountant.
Comparing camping software: what to look for
In the Netherlands a search for camping software quickly turns up Camping.care, Tommy Booking Support, Recranet, MyTourist, Booking Experts and Stratech. These are the questions that make the difference. Ask them of everyone, including us.
Is it genuinely one system, or a booking module with separate connectors for the till, annual pitches and accounts? Do you pay a commission per booking or a flat fee? Who is the payment provider, and into which account does your guests’ money arrive? Can guests choose their own pitch on a map? How are annual pitches, meter readings and tourist tax handled? Where is your data held, and under which law?
Our answer: all-in-one, no commission per booking, Grondia as the payment provider with its own terminals, an interactive pitch map, annual pitches and meter readings on the invoice, tourist tax per municipality and hosting in ISO 27001-certified data centres in Switzerland. The Grondia team does the migration for you, in one to two days.
Frequently asked questions
Is Grondia suitable for a holiday park, or only for campsites?
Both. Holiday-park software has to sell and settle chalets, static caravans, safari tents, touring pitches and annual pitches side by side, with a till for the restaurant and the shop, bike and activity rentals, and access by barrier or smart lock. That is exactly how Grondia is built: every accommodation type is a bookable unit on the same map, and everything lands on one guest folio.
What does Grondia’s camping software cost?
The prices are published rather than quote-only: plans start from €166 per month billed yearly, and the pricing page shows what each plan includes and how many pitches it covers. There is a one-time onboarding fee for migration, set-up and training, and no commission per booking.
Can my guests pay with iDEAL?
Yes. Guests pay at booking with iDEAL, card or PayPal (a deposit or the full amount), and on site by card at a terminal that posts straight to the guest folio. Annual pitches can be collected by SEPA direct debit or invoice.
Does Grondia handle my municipality’s tourist tax?
You set your municipality’s rules once (rate per person per night or as a percentage, exemptions, any caps), and Grondia calculates the tax per stay, collects it with the guest’s bill and produces the periodic statement for your return to the municipality. The overnight stays behind it are always traceable.
How does switching from my current system work?
The Grondia team migrates your bookings, guest records, annual pitches and rates. That takes one to two days. Then we set up your map and rates together and train your team, so you can switch mid-season without losing a booking.
Which languages is Grondia available in?
This website and the guest side are in Dutch: your guests book, check in online and use their digital guest card in their own language: Dutch, German, English, French or Italian. The admin for you and your team is offered today in English, German, French and Italian; ask in the demo about the status of the Dutch admin.
Where is my guests’ data held?
In ISO 27001-certified data centres in Switzerland, a country with an EU adequacy decision, so you comply with the GDPR without extra contracts. Grondia is published by CampOne GmbH in Herrliberg, Switzerland. Nothing is replicated to the United States or any other region.
