Why "no double-bookings" is an architecture question

A double-booking is rarely carelessness. It happens when the same pitch is sold in several places that each keep their own idea of availability: your website, Booking.com, ACSI, a motorhome app. Each channel syncs on a schedule, two guests book in the gap, and on a Friday evening in July someone stands at the barrier for nothing.

iCal sync (the cheap answer) makes this better but not safe, because it polls rather than pushes. There is always a window, and in peak season the window is exactly when it matters.

Grondia’s booking system solves this structurally. Every booking locks its pitch the instant it is confirmed, and the website, reception and channels all read one shared availability. A pitch sold anywhere is gone everywhere, because there is only one calendar and everything writes to it.

Guests choose the pitch they will actually sleep on

Pitches are not interchangeable. The lakeside pitch is not the one by the road, and a guest who returns every year knows exactly which one they want.

So guests pick their exact spot on an interactive map of your grounds. Touring pitches, motorhome bays, chalets, hikers’ cabins, safari tents and annual pitches sit on the same map as bookable units, each with its own rates, minimum stays and rules. Reception works from the same map: drag a booking to a new pitch, stretch it to extend a stay, block a row for maintenance.

Pricing rules that fill the quiet nights

A flat rate all season leaves money on the table in August and pitches empty in May. Set high-, shoulder- and low-season rates per pitch type, add weekend and peak surcharges, and set minimum-stay and arrival-day rules. Occupancy-aware pricing lifts rates automatically as you fill up, within the limits you set.

Every rule is enforced at the point of booking: guests only ever see valid, correctly priced options.

Direct bookings without commission, because the margin is the point

Booking platforms bring reach a small site cannot build alone, and charge for it: a percentage of every booking, plus the guest relationship itself. The usual leak is the hand-off: the "Book" button sends the guest to a third-party page and a good share never come back.

Configure a fixed or percentage deposit, or full pre-payment, per rate. Guests pay at booking by iDEAL, card or PayPal and arrive already settled; the balance is collected automatically before arrival or settled on the folio at check-out.

When someone cancels, the flow reads the policy attached to that rate, calculates the fee, refunds through the original payment method and frees the pitch back to availability.

More than a booking system for your campsite

The Grondia booking system is part of one platform. The same booking feeds check-in, the guest register, your municipality’s tourist tax, the guest folio the till and the camp shop charge to, the number-plate barrier and, finally, the invoice that goes to your accounts. Annual and seasonal pitches sit as contracts on the same map, with electricity and water meter readings on the invoice.

Yes. Each accommodation type is its own bookable unit on the map with its own rates, minimum stays and rules: touring pitches, motorhome bays, chalets, hikers’ cabins, safari tents and annual or seasonal pitches side by side.

Are guests sent to another site to pay?

No. The website and the booking widget are one product, so a guest goes from your photos to a confirmed, paid booking (by iDEAL, card or PayPal) without leaving your page.

Do I pay a commission per booking?

No. Grondia charges no commission per booking; you pay a flat platform fee, published on the pricing page from €166 per month billed yearly. What you sell through your own website is yours, including the guest relationship.

Can I keep my existing website?

Yes. Either take the fast, bookable site that comes with Grondia, or embed the booking widget into the site you already have. Availability and rates stay in sync either way.

Does the booking system work with Booking.com and ACSI?

Yes. Channels such as Booking.com, ACSI and Pitchup connect to the same availability as your own website and reception. A booking from a channel removes the pitch everywhere at once.

What happens when a guest cancels?
