They are two systems that each believed they owned site 42. Grondia holds one availability that your own website, the front desk and every channel you sell on write into, and it charges nothing per booking that comes through it.

At a glance

  • One availability across your own website, the front desk and the channels you sell on
  • Guests choose their own site on a live map, and it locks the moment they confirm
  • Minimum stays, arrival-day rules and seasonal rates enforced at the point of booking
  • Deposits at booking, balances before arrival, cancellations resolved against your own policy
  • No percentage, no per-reservation amount, and no service fee added to the camper’s total
  • Online check-in and a digital guest card, in English and French
  • Store, canteen and rentals on the same folio as the site
  • Interac Debit and Interac e-Transfer, cards and wallets, matched back to the reservation

Guests pick the site, not just the dates

Regulars have a favourite: the one at the end of the row, the one nearest the washrooms, the pull-through that takes a fifth wheel without a shunt. Reservation software that lets a guest choose that exact site on a live map sells more nights than software that hands out a category and leaves the office to sort it out on arrival.

The map is the same one your staff work from during the day. Arrivals, departures, holds and maintenance blocks, all colour coded and draggable. Move a booking to another site, block a row while the water line is being dug, extend a stay by a night: the grid updates as you let go, and your website reflects it in the same instant. There is nothing to sync at the end of the day, because there is only one calendar.

Rates and rules that hold on a long weekend

Minimum stays over Victoria Day, Canada Day and the August long weekend, arrival-day rules for the seasonal row, shoulder-season rates that soften a Tuesday in June: each is set per unit type and per date range, and enforced when the booking is made. A guest is only shown what is valid and correctly priced, so your rules do not have to be defended on the phone.

Deposits are taken at booking and balances before arrival. A cancellation resolves itself against the policy attached to that rate: the fee calculated, the refund sent through the original payment method, the site back in availability. None of that arrives in an inbox for somebody to work through on Monday.

Read the per-booking line before you compare monthly prices

Almost every reservation system sold to Canadian campgrounds charges something per reservation. It appears in three shapes: a percentage of the booking, a flat dollar amount per reservation, or a service fee added to the camper’s total at checkout so the operator’s own invoice looks small. The third one is the one worth reading twice, because it is your guest paying for your software and your review page that hears about it.

Grondia’s number is zero in all three shapes. No percentage, no per-reservation amount, and nothing added to what the guest pays. You pay a monthly subscription for the modules you run plus a one-time onboarding fee, quoted against your number of sites, so a busy July costs you nothing extra beyond your own card fees. When you compare vendors, ask each one for the per-reservation figure in writing and put it beside the monthly price: that is the comparison that changes over a season.

Arrivals without a line at the office

The guest portal runs the arrival before the arrival. A party completes check-in on their own phone, pays the balance and carries a digital guest card. Late arrivals stop being a problem to solve in the morning, and the busiest ninety minutes of a Friday stop being what defines a guest’s first impression.

Where the property has a gate, a smart lock on the washrooms or a self check-in kiosk, Grondia connects to it, so a guest who is checked in and paid gets through without anyone standing at a counter. The portal, the emails and the receipts run in English and French, and the guest picks.

Direct bookings, and who owns the guest afterwards

A listing site brings reach a single property cannot generate alone, and it charges a percentage of every night for it. Grondia’s booking engine sits on your own website rather than behind a redirect, so a visitor goes from your photographs of the lake to a held site without leaving your name. If you would rather not maintain a website, Grondia builds and hosts one with the domain and certificate included and the booking already in it.

That is also where the guest relationship stays. The email address, the preference for site 14, the family that comes back the same week every August: those belong to your record rather than to a portal that rents them back to you next season. Channels such as Booking.com and Google still read the same availability as your own site and your front desk, so a site sold anywhere is removed everywhere in the same instant and using them costs you a commission on those nights and nothing else.

What happens after the booking

A reservation that is only a reservation leaves you a second system for the store and a spreadsheet for everything else. In Grondia the same record carries the folio: firewood and propane from the store, the canteen, a kayak for the afternoon, all settled once at departure.

GST or HST and the provincial rate ride on each line as it is added, so the receipt the guest gets and the export your bookkeeper imports into QuickBooks, Sage or Xero say the same thing. Payments run on Interac Debit and Interac e-Transfer, Visa, Mastercard, Apple Pay and Google Pay, and land matched to the booking they belong to.

Frequently asked questions

Is there a free campground reservation system?

There are systems that cost nothing to sign up for, and they are generally paid for per booking: a commission, a flat amount per reservation, or a fee added to the camper’s total at checkout. Across a season that is usually the most expensive way to take reservations. Grondia is a flat subscription, so the five hundredth booking of the summer costs what the first one cost, which is nothing extra.

Do you charge anything per reservation?

No: no percentage, no per-reservation amount, and nothing added to what the guest pays. You pay a monthly subscription for the modules you run plus a one-time onboarding fee, quoted against your number of sites, with a 12-month minimum term.

Can guests choose a specific site?

Yes, on a live map of your property. If you would rather assign some unit types yourself, you can sell those by category and place them on the map when it suits you.

Will it work with the channels we already sell on?

Channels such as Booking.com and Google read the same availability as your own website and your front desk, so a site sold anywhere is removed everywhere in the same instant and rates stay in step.

Can we keep our current website?

Either way works. The booking engine embeds in the site you already have, or Grondia builds and hosts a campground website with the domain and certificate included and the booking already in it. Availability stays in sync either way.

What happens when a guest cancels?

The cancellation reads the policy attached to that rate, calculates the fee, refunds through the original payment method and puts the site back into availability. Nothing is recalculated by hand and no refund is forgotten.

How long does it take to move off our current system?

About two weeks. Grondia moves your reservations, guest records and rates from the exports you can produce, builds the site map and trains your staff. We plan the switch so it does not land in your busiest week.
