The fit rules live on the site, not in somebody’s head

Every site in Grondia carries what it is: maximum length, pull-through or back-in, 30 or 50 amp, full hook-up, water and power, or unserviced. You can add whatever else decides a fit at your park, because it is rarely only the length: slide-out clearance on one side, a low branch over another, a pad that stays soft until June.

The booking engine only offers a guest the sites their rig fits, and the office works from the same rules when it moves somebody on the map. That is the difference between RV park management software and a calendar. A calendar will happily sell a 40-foot motorhome a 28-foot back-in and leave the problem for whoever is on the desk when it rolls in.

Seasonal, monthly and transient on the same map

Most Canadian parks run three businesses at once. Transient nights through the summer, monthly stays that stretch either side of them, and a seasonal row contracted before the season opens. At a lot of parks the seasonal row is the largest single line on the year, and it is the one most reservation systems handle worst, because a season is not a long booking.

In Grondia a seasonal site is a contract: its own term, its own payment schedule, its own renewal, its own occupant record. Electricity and water meter readings are carried onto the seasonal invoice instead of onto a clipboard. Winter storage, a second vehicle, a dock slip or a golf cart sit on the same account as the site, so the invoice you send in April is one you can still explain in August. A seasonal camper who stays a weekend in the transient section is still the same guest record, not a second one.

Mixed inventory, on one map

Very few Canadian parks sell only RV sites. Park models, cabins, yurts, a ready-to-camp unit, tent sites at the back and a couple of boat slips all behave differently: their own rates, their own minimum stays, their own arrival days, their own housekeeping.

Each of those is its own unit type in Grondia rather than an RV site with a note attached. That matters at the moment of sale, because a guest booking a park model should not be shown amperage, and it matters at the end of the month, because a park-model night and a serviced site night do not carry the same tax treatment.

Payments Canadian guests already use

Interac Debit on the terminal at the office, Interac e-Transfer for a deposit taken online, and Visa, Mastercard, Apple Pay and Google Pay alongside them. Pre-authorized debit handles seasonal accounts, so a payment schedule runs itself instead of turning into a phone call in July.

Every payment lands back on the reservation or the contract it belongs to. A deposit taken in February, a balance taken at the gate and a refund against your own cancellation policy all read the same account, so a long weekend’s takings are reconciled by Monday rather than at month end. Nothing is charged per booking: no percentage, no per-reservation dollar amount, and no fee added to what your guest pays.

The store, the propane and everything charged to the site

Firewood, ice, propane, a bag of softener salt, a kayak for the afternoon, a round at the canteen: the till posts each of them to the guest’s site and settles once at departure. It runs the store, the canteen and the rental desk from one screen, keeps selling when the connection drops at the far end of the property, and syncs when the signal is back.

Stock counts down as you sell, with low-stock alerts and a re-order list, so the propane and the cool boxes are not gone by Saturday afternoon. Everything sold on the property reads the same guest record as the site, which is also what makes the month-end figures add up without a reconciliation.

Tax on the line, and an export your bookkeeper imports

GST or HST and the provincial rate sit on each line rather than on the booking as a whole, so a site night, a monthly stay, a bag of firewood and a park-model rental can each carry their own treatment and still produce one receipt. You set the rates for your province once.

An accommodation tax is a separate setting and it stays off until you turn it on, because in much of Canada it does not reach an RV site at all: Revenu Québec states that the taxe sur l’hébergement does not apply to the rental of a camp site, and Ontario by-laws commonly exclude tent and trailer sites from the Municipal Accommodation Tax. Where Alberta’s Tourism Levy, British Columbia’s Municipal and Regional District Tax or a municipal by-law does reach you, you enter the rate and the exemptions once. Payments, deposits, refunds and tax lines then export as a CSV your bookkeeper imports into QuickBooks, Sage or Xero.

Can Grondia stop a rig being booked onto a site it does not fit?

Yes, that is what the site record is for. Maximum length, pull-through or back-in, amperage and hook-up type sit on the site, and the booking engine only offers a guest what fits. You can add your own constraints where a site has something the dimensions do not capture.

How do seasonal sites work?

As contracts, not as long reservations. A seasonal site carries its own term, payment schedule, renewal and occupant record, and electricity and water meter readings are carried onto its invoice. A seasonal camper who stays a weekend in the transient section is still the same guest record.

Can we bill metered power on a seasonal site?

Yes. A meter reading is entered against the site and carried onto that contract’s invoice, alongside the site fee and any extras such as storage or a second vehicle, so the seasonal invoice is one document rather than a site fee plus a handwritten note.

Can guests pay by Interac?

Yes. Interac Debit on the terminal, Interac e-Transfer for online deposits, and Visa, Mastercard, Apple Pay and Google Pay alongside them. Seasonal accounts can be collected by pre-authorized debit, and every payment lands back on the reservation it belongs to.

Do I have to charge an accommodation tax on RV sites?

That depends on your province and your municipality, and it is worth checking rather than assuming. Revenu Québec states that the taxe sur l’hébergement does not apply to the rental of a camp site, and many Ontario municipalities leave tent and trailer sites out of the Municipal Accommodation Tax. Grondia keeps it off until you switch it on, so software written for Europe does not quietly add a charge you are not meant to collect.

What does it cost?

We quote per park, against the number of sites and the modules you need. A monthly subscription and a one-time onboarding fee, a 12-month minimum term, and nothing charged per booking. You get a figure, not a range.

We run more than one park. Can they share an account?

Yes. The multi-site tier runs several properties under one account with reporting consolidated across them, rather than a separate login per park. Rates and reporting can be shared while each park keeps its own tax setup.
