What campsite management software has to do today
A campsite is not a hotel with tents. A hotel sells rooms; a campsite sells pitches for tents, caravans and motorhomes, bungalows, mobile homes, chalets and glamping tents, each with its own rate, minimum stay and arrival rules. Add seasonal guests, the bar and the shop, rentals, the barrier at the gate and the utilities to meter: generic software (or an adapted hotel PMS) stops well short.
Grondia was built as management software for campsites and holiday villages, not adapted to them. The booking engine, front desk, POS, invoicing, tourist tax, guest registration and seasonal contracts are modules of one platform reading the same record. The booking that comes in from the website is the one reception sees arriving, the one the bar charges to the pitch and the one accounting exports at month end.
The practical result is that nothing gets retyped. No spreadsheet next to the PMS, no paper calendar for the seasonals, no hand tally of tourist tax on the thirtieth. Every guest has one profile and one folio, and every figure you report (to the municipality, to your accountant, to the guest) comes from the same source.
Online booking without a commission
The most expensive way to fill a campsite is to pay a percentage on every booking. With Grondia the bookings that arrive from your own website are yours: no per-booking commission, ever. Not on the website, not on bookings entered at reception, not on any booking that runs through the platform.
The website with its booking widget is included, hosting and domain too. The guest sees live availability, picks the pitch or bungalow, pays a deposit or the whole stay and gets the confirmation. Each booking locks its unit the instant it is made, so the same lakeside pitch can never be sold twice (from the website, from reception or from a portal connected through the channel manager).
Payments run on Grondia’s own rails: Grondia is the payment provider, so deposits, balances and refunds land on the guest’s folio with no extra intermediary to reconcile. High, shoulder and low-season rates, weekend surcharges, minimum stays and cancellation policies (flexible or strict) are set per unit type and then apply themselves.
Campsite software with an interactive map: the guest picks the pitch
Anyone searching for campsite software with an interactive map has usually lived the problem: the guest books “a pitch”, arrives and finds it is the one next to the toilet block. In Grondia the site map is the centre of the system, not decoration. Guests see the real layout of your grounds (pitches, bungalows, glamping tents, facilities) and choose the exact spot they will sleep on: shaded, lake view, near the playground, away from the road.
The same map is reception’s working tool. A booking is dragged onto another pitch and the map updates live; a row is blocked for maintenance; a seasonal guest is assigned to their pitch for the whole season in one move. Next to the map sits the season calendar (arrivals, departures, options and blocks, colour-coded and draggable), reading the same availability as the website, so there is nothing to sync at the end of the day.
For the guest it means choosing with their eyes rather than their imagination. For you it means selling the best pitches at the price they deserve and no longer moving bookings by hand the day before arrival.
Front desk, POS and electronic invoicing: one folio per guest
Reception runs from a live arrivals and departures board: one-tap check-in, housekeeping status per pitch and per bungalow, notes and tasks for staff with roles and permissions. A guest who checked in online arrives with documents already captured and the signature already given; whoever arrives after closing time finds the self-check-in kiosk or the barrier that recognises their number plate.
The till is the same platform, not a separate program. Bar, restaurant, shop and rentals charge to the pitch or take payment on the spot, with connected payment terminals that post the amount straight to the guest’s folio. Every article, every drink, every night lands on one folio that always adds up and is settled once at departure: by card, at the terminal or in cash.
Invoicing meets the fiscal requirements, electronic invoicing included: the invoice to a private guest, a company or an agency leaves the PMS with the data already correct. Every payment, tax line and refund exports cleanly for your accountant, VAT separated, with integrations to the common accounting packages.
Tourist tax, guest registration, seasonal guests and utilities
Tourist tax differs in every municipality: rate per night, age bands, exemptions, maximum taxed nights, application period. Set your municipality’s rules once and Grondia applies them to every stay, shows them to the guest at booking and produces the period statement you remit with. Because it reads the same check-in record, what you declare matches what you collected.
Guest registration follows the same logic. Document data is captured at check-in (online, at the kiosk or at reception), signed digitally and retained for the legally required period, ready for the report to the authorities (alloggiati web) and for tourism statistics. No double entry, no registration slip filled in by hand at eleven at night.
For seasonal guests the annual contract lives in the PMS: the pitch is assigned for the whole season, the instalment goes out on its own and the electricity and water meters read at period end land on the guest’s invoice. Number-plate barriers that open only for registered guests who have paid, EV charging points, smart locks for sanitary blocks and rental units: these are integrations of the platform, not separate projects.
Free campsite software, prices and quotes: how it really works
“Free” campsite software moves the price to where you will see it later. The most common model is the commission: the program costs nothing to install, then keeps a percentage of every booking it touches. Over a full season that percentage far exceeds a flat subscription, and it grows precisely when you do well.
The other model is free with the modules missing: booking is there, but the till, electronic invoicing, tourist tax or the accountant export are a paid upgrade, or a second program to buy and to wire to the first. You pay in the end. Grondia is not free and does not pretend to be: a clear subscription, no per-booking commission and every module in the same platform. The money from every booking stays yours, and a good August costs no more than an empty June.
So what does it cost? For Italy Grondia quotes per site rather than publishing a rate card. The subscription depends on the number of pitches and units, the plan chosen and any add-on modules: channel manager, dynamic pricing, activity booking. You pay monthly or yearly at a discount, there is a one-time setup fee that covers onboarding, data migration and training, and the minimum term is twelve months. No per-booking commission, no hidden charge for the module you needed from the start.
The subscription covers the whole platform (booking, website with widget, front desk, POS, invoicing, tourist tax, guest registration, seasonal guests, analytics) with the interface in Italian, German, French and English. Migration from your old system is done by the Grondia team in one to two days, and your data is hosted in ISO 27001-certified data centres in Switzerland. Operators with several sites get a group console that keeps the sites together while keeping accounts, rates and rules separate.
Frequently asked questions
What is the difference between campsite management software and a hotel PMS?
The units and how they are sold. A hotel PMS thinks in rooms and nights; a campsite sells pitches chosen on a map, bungalows and mobile homes with their own rules, seasonal contracts with meters, purchases charged to the pitch and a barrier at the gate. Grondia is built around those needs (interactive map, seasonal guests, charge-to-pitch POS, tourist tax per municipality), rather than adapting software made for hotels.
Does Grondia also work for holiday villages with bungalows and mobile homes?
Yes. Pitches, bungalows, mobile homes, chalets, glamping tents and seasonal pitches are all bookable units in the same platform, each with its own rates, minimum stays, arrival days and cancellation policies. A holiday village with mixed units runs everything from the same calendar and the same map.
Is there free campsite software that is worth it?
Usually “free” means a commission on every booking, or a program missing the modules that actually matter: POS, electronic invoicing, tourist tax, the accountant export. Grondia has no free plan: it has a clear subscription, no per-booking commission and every module included, so the cost does not grow when the season goes well.
What does Grondia cost in Italy?
In Italy pricing is quoted per site. The subscription depends on the number of pitches and units, the plan and the add-on modules chosen; you pay monthly or yearly at a discount, with a one-time setup fee that covers onboarding, data migration and training, and a twelve-month minimum term. There is never a per-booking commission. Describe your site and you receive a written offer.
Does it handle tourist tax and guest registration?
Yes. Your municipality’s rules (rate per night, age bands, exemptions, maximum nights) are set once and applied to every stay, with the period statement for remittance. Document data captured at check-in, including online, is signed digitally and retained for the legal period, ready for the report to the authorities (alloggiati web) and for tourism statistics.
Can I switch to Grondia from another system mid-season?
Yes. The Grondia team does the migration, not you: bookings, guest records, seasonal guests and rates are imported and checked in one to two days, with staff training included in the setup fee. The interface is in Italian, German, French and English, and support answers in Italian.
