On a touring park the pitch is the thing being sold, and touring park software that treats “a pitch” as interchangeable is fighting the customer. A twin-axle needs the hardstanding by the entrance, the tent needs the flat grass away from the road, the motorhome wants a serviced pitch with the drain on the right side. Grondia makes each pitch type a bookable unit of its own (hardstanding, grass, EHU, non-electric, fully serviced, super pitch) with its own rate and its own rules, and lets the guest choose the exact pitch on a live map of your park.

The pitch locks the instant the booking is confirmed, so it can never be sold twice, however the booking arrived. Minimum stays over bank holidays, a shoulder-season rate that softens midweek and arrival-day rules are enforced at the point of booking: a guest only ever sees an option that is valid and priced.

Seasonal pitch management software is usually where a caravan park’s system gives up and a spreadsheet takes over: who has paid the season fee, whose electricity has been read, who is coming back in March. In Grondia every pitch, static and toilet block carries a status (dirty, cleaning, ready), and a departure flips the pitch to dirty on its own. Checked in from the car, through the barrier

The guest portal lets a party complete check-in on their own phone on the way, pay the balance and carry a digital guest card that opens the barrier and the shower block from a single QR code. Where the park has a number-plate barrier, Grondia connects to it, so a checked-in tourer drives straight through and a late arrival never means a phone call to your mobile.

Smart locks on the facilities and EV charging points connect to the same record, so a charging session lands on the right pitch and nothing has to be keyed in the morning.

Shop, café and hire, charged to the pitch

The shop till scans a barcode and drops the item, price and VAT rate onto the ticket (gas, logs, milk, awning pegs), so a queue clears in seconds. The café till holds a tab per table and splits the bill any way a party asks. Bike hire and any other bookable kit carry their own availability by the hour or the day, so the same bike cannot go out twice.

Every sale can be charged to the pitch and settled once at departure, or taken there and then on a contactless terminal supplied by Grondia that is a payment method inside the till. The till keeps selling when the wifi drops at the far end of the park and syncs when the connection returns.

Pounds, VAT and where your data lives

Grondia is the payment provider. Card payments online and on the terminal are taken in pounds and land matched to the booking or the seasonal account, so the weekend’s takings are reconciled rather than chased. Deposits, balances and refunds against your own cancellation policy run through the same rails, and there is no commission on any booking, on any plan. Every invoice carries its VAT lines, and payments, tax lines, deposits and refunds export in a VAT-aware format your accountant can import.

Guest data sits in ISO 27001-certified data centres in Switzerland (recognised by the UK as adequate for personal data) encrypted in transit and at rest, with role-based access and every access logged. Pricing is published in pounds on the pricing page, plan by plan, with the pitch count each plan covers and its one-time onboarding fee beside it. The Grondia team does the migration itself, normally in one to two days.

Can guests book a specific pitch rather than a pitch type?

Yes. The live map shows the park, and a guest picks the exact pitch (the hardstanding by the entrance, the corner by the hedge) which is held for them the moment they confirm. For unit types you would rather allocate yourself, sell by type and place the booking on the map when it suits you.

Can seasonal customers pay by Direct Debit?

Yes. The season fee goes out as a VAT invoice and can be collected by Direct Debit, bank transfer or card, with a deposit or full pre-payment if you take one. The payment lands already matched to the seasonal’s account.

Can we meter electricity on seasonal pitches?

Electricity and water meters connect to Grondia so readings land as lines on the seasonal customer’s invoice rather than on a clipboard. Which meters are installed on your park, and what they need to connect, is something we go through with you before go-live.

Do you charge a commission on bookings?

No, not on any plan. Grondia is a flat subscription with a one-time onboarding fee, both published in pounds on the pricing page. A booking made through your own website costs nothing beyond the card fee on the payment itself.

Do statics and holiday homes fit in?

Yes. Hire statics are bookable units with their own rates and changeover rules, and owner-occupied holiday homes are long-stay units whose owners hold one itemised account for site fees and metered utilities, the same way a seasonal pitch does.

How long does moving from our current system take?

The migration (bookings, seasonal customers, guests and rates, from the exports and records you can produce) is done by the Grondia team and is normally finished in one to two days. Configuration and training run around it, and we plan the switch outside your peak weeks.
