Most parks run on a stack: a booking system for the hire fleet, a separate ledger for owners’ site fees, a spreadsheet for the touring field, and a till in the bar that has never heard of any of them. Every one of those boundaries is where money goes missing and where a member of staff spends a Monday reconciling.

In Grondia every kind of unit on the park is its own bookable type on one live map (owner-occupied holiday homes, hire caravans and lodges, glamping pods, touring and camping pitches, seasonal pitches), each with its own rates, minimum stays and changeover rules. Reception, housekeeping, maintenance and the tills all work from that one record, so a lodge is never let while it is still being cleaned and an owner’s account never has to be pieced together from three places.

A holiday park booking system for the hire fleet

The hire fleet is where a holiday park booking system earns its keep. Guests book a specific caravan or lodge on a live map, with the short-break patterns UK parks actually sell (Friday-to-Monday, Monday-to-Friday, full weeks in the school holidays), set as arrival-day and minimum-stay rules that the booking engine enforces rather than politely suggests. Deposits are taken at booking, the balance falls due before arrival, and cancellations resolve themselves against the policy you set.

Because the booking widget sits on your own website, or on the one Grondia builds and hosts for you, the guest never leaves your name to book. Every booking that starts there is one you did not pay a listing site a percentage to receive, and no plan takes a commission on it.

Owners: site fees, metered electricity and one account

An owner is a guest who never checks out. In Grondia an owner’s holiday home is a long-stay unit on the same map as everything else, and the owner is one persistent profile with one itemised account: the annual site fee, metered electricity and gas where the park meters them, and anything they put on the tab at the bar. Each of those is a line on the account rather than a separate piece of paper.

The site fee goes out as a VAT invoice and can be collected by Direct Debit, bank transfer or card, with a deposit or a full pre-payment where you want one. Electricity and water meters connect to Grondia so readings land on the invoice instead of on a clipboard, and a returning owner comes back each season with their history intact rather than as a fresh record.

Touring and seasonal pitches, on the same map as the lodges

The touring field runs on the same booking engine as the hire fleet, so the Easter weekend does not need a second system. Hardstanding, grass, EHU and fully serviced pitches are their own unit types, a pitch locks the instant it is booked, and a bank-holiday minimum stay is enforced at the point of booking.

Seasonal pitches are a unit type of their own (with their own rate, arrival-day rule and one running account per seasonal customer), so the caravan that stays from March to October is billed like a seasonal, not like a two-night tourer.

Bars, shop, entertainment and hire: the point of sale

The clubhouse till is a proper hospitality till: orders go to the kitchen and the bar, a tab stays open per table, the bill splits any way a party asks, and happy-hour pricing switches itself on and off by the clock. The shop till scans a barcode and drops the item, price and VAT rate onto the ticket, so the queue for milk and firelighters clears. Bike hire, boat hire and activity slots each carry their own availability, so the ten-o’clock pedalo cannot be promised twice.

Every sale can be charged to the guest’s caravan, pitch or owner account and settled once. The terminals are supplied by Grondia and are a payment method inside the till, so a card charge posts itself; and the till keeps selling when the connection drops at the far end of the park and syncs when it returns.

Payments in pounds, VAT, the group console, and moving from what you run now

Grondia is the payment provider. Card payments online and on the terminal are taken in pounds and land matched to the booking or the owner’s account, so takings are reconciled daily rather than at month end. Every invoice carries its VAT lines, and every payment, tax line, deposit and refund exports in a VAT-aware format for your accountant. Barriers with number-plate recognition, smart locks on the facilities and EV charging connect to the same record, so a checked-in guest gets through the gate and a charging session lands on the right bill.

Operators with more than one park run them from one group console, with consolidated reporting across sites rather than a login per park. Guest data lives in ISO 27001-certified Swiss data centres, encrypted in transit and at rest, with every access logged. And the migration from your current park software is done by the Grondia team (bookings, owners, guests and rates, from the exports you can produce), normally in one to two days.

Yes. Arrival-day rules and minimum stays are set per unit type and per date range, so the hire fleet sells the short-break patterns you choose in term time and full weeks in the school holidays, and the booking engine enforces them rather than leaving reception to police them.

Does the bar till work with the bookings?

It is the same system. The clubhouse till sends orders to the kitchen and the bar, holds a tab per table, splits bills and switches happy-hour prices by the clock, and any sale can be charged to the guest’s caravan, pitch or owner account and settled once.

We run more than one park. Is that one login per site?

No. Multi-park operators run every site from one group console, with each park’s own rates and units and consolidated reporting across all of them. The Multi-Site tier is built for exactly that.

We are on CampManager, Anytime Booking or a spreadsheet today. How does moving work?

The Grondia team does the migration from the exports and records you can produce (bookings, owners, guests, rates), and it is normally done in one to two days, with configuration and training around it. We plan the switch for a quiet week, never a changeover Saturday.
