Grondia
Digital guest registration

The registration is signed before the guest reaches the barrier

With Grondia, guests fill in and sign their registration form digitally before they arrive, so there is no paper Meldeschein passed across the desk and no clipboard at check-in. One record, captured once, kept for exactly as long as the law requires.

Signed before arrival, not scribbled at the desk

When a guest checks in online, they complete their registration details and sign them digitally before they ever reach your site. Nothing is re-typed by a receptionist and nothing waits on a paper form being legible.

Self / online check-in is an add-on, included from the Professional plan upward. Because the registration is already signed when the guest arrives, the queue at reception is shorter and the arrival is a hand-over, not a form-filling session.

In Switzerland: the cantonal Meldeschein, in your canton’s format

For Swiss sites, the registration is produced as the cantonal Meldeschein in the exact format your canton expects, and it is signed digitally at self-check-in.

The same check-in data is what Grondia compiles your HESTA overnight statistics from, and what drives per-commune visitor tax — Kurtaxe by guest type, with exemptions and caps — so one signed registration feeds the reports instead of being re-entered three times.

One record, retained exactly as long as required

Every guest is one profile with one registration record, not a stack of loose forms in a drawer. Retention is enforced by the platform: records are kept for the required period and then securely deleted, rather than lingering indefinitely.

Every access to guest data is written to a tamper-evident audit log — who looked, when, and what they did — so you can show exactly how a registration was handled.

The data stays in Switzerland

Guest registrations are hosted exclusively in ISO 27001-certified Swiss data centres, with nothing replicated abroad — no US sub-processor, no EU fallback region.

Traffic is TLS 1.3, data at rest is AES-256, and everything is retained under the nDSG. If you ever cancel, there is a 90-day window to export your data before it is securely deleted.

What the guest gets in return

The guest-facing portal is in German, French, Italian and English, so a guest completes their registration in their own language.

Once checked in, the same guest can carry a digital guest card — a single QR that opens the barrier, the pool and the showers and unlocks partner discounts — so the registration they signed is also the thing that lets them in.

Frequently asked questions

When exactly does the guest sign the registration?
Before arrival. With online check-in the guest fills in and signs their registration digitally ahead of time, so it is already done when they reach the barrier. Online / self check-in is an add-on and is included from the Professional plan upward.
Does Grondia produce the cantonal Meldeschein for Swiss sites?
Yes. For Swiss sites the registration is generated as the cantonal Meldeschein in the format your canton expects and signed digitally at self-check-in. The same data is what your HESTA statistics and per-commune Kurtaxe are built from.
How long is a guest’s registration kept, and who can see it?
Each guest is one record, retained for the legally required period and then securely deleted — retention is enforced by the platform. Every access is written to a tamper-evident audit log showing the user, the timestamp and the action.
Where is the registration data stored?
Exclusively in ISO 27001-certified Swiss data centres, with nothing replicated abroad — no US sub-processor and no EU fallback. Traffic is TLS 1.3, data at rest is AES-256, and everything is retained under the nDSG.
In which languages can a guest fill in their registration?
German, French, Italian and English — the guest-facing portal ships in all four out of the box, so guests register in their own language without you translating anything.
