What one record changes on a long weekend
Every site is its own bookable unit with its own rates and rules: one, two or three services, 30 or 50 amp, cabins, ready-to-camp units and seasonal sites. A reservation locks the site the moment it is confirmed, whether a guest made it at midnight or you took it at the counter, so the same site cannot go out twice.
Minimum stays over a long weekend, arrival-day rules for seasonal campers and shoulder-season rates are enforced when the booking is made, so a guest only sees options that are valid and correctly priced.
Sales tax on every line, and the lodging tax where it does not apply
GST and QST apply to what a campground sells. The taxe sur l’hébergement does not: Revenu Québec states that it does not apply to the rental of a camp site.
So Grondia puts the tax on the line rather than on the booking. A site night, a bag of firewood, a cabin night and a boat launch can each carry their own treatment and still produce one receipt. The lodging tax is a separate setting that stays off until you turn it on, which matters if you also operate elsewhere in the country.
The store, the gate and the maintenance list
Everything a guest buys on the property posts to their site and settles once at departure: firewood, ice, propane, a kayak for the afternoon, an order at the canteen. The till runs the store, the canteen and the rental desk from one screen, keeps selling when the connection drops at the far end of the property, and syncs when the signal is back.
Housekeeping sees what turns over today, maintenance sees which sites are blocked and why, and the front desk works from a live arrivals board. Where the property has a gate, a smart lock on the washrooms or a self check-in kiosk, Grondia connects to it.
Guests book with you, and the booking stays yours
A reservation that starts on a listing site costs a percentage of every night, every season. Grondia charges nothing per booking, and the booking engine sits on your own website rather than behind a redirect, so a visitor goes from your photographs of the lake to a held site without leaving your name.
If you would rather not maintain a website, Grondia builds and hosts one with the domain and certificate included. Channels keep their place: Booking.com and Google read the same availability as your own site and your front desk.
French and English, because your guests are both
The booking engine, the guest portal, the confirmation emails and the receipts run in French and English, and the guest picks. In Quebec that is not a detail. Elsewhere in the country it is the difference between a Quebec family booking with you and booking with the campground that made it easy.
Your own staff are not forced to choose either. The front desk works in whichever language the person at the counter is using, on the same record.
Where your data lives, and what your bookkeeper gets
Databases, backups and file storage sit in ISO 27001-certified data centres in Switzerland, encrypted in transit with TLS 1.3 and at rest with AES-256, with role-based access and every access to guest data logged. We will sign a data-processing agreement covering your obligations under PIPEDA and Quebec Law 25.
Guest records are captured once at check-in and kept for the period you set. Payments, deposits, refunds and tax lines export as a CSV your bookkeeper imports into QuickBooks, Sage or Xero. There is no federal guest-night return in Canada to file, and Grondia does not pretend to file one.
Frequently asked questions
What does campground management software cost in Quebec?
We quote per property, against the number of sites you run and the modules you need. A monthly subscription, a one-time onboarding fee, a 12-month minimum term, and nothing charged per booking. You get a figure, not a range.
How is tax calculated?
Every line of a booking carries its own rate, so a site night, a cabin night and a bag of firewood can be treated differently and still produce one receipt. You set the rates once, and the receipt and the bookkeeping export agree from then on.
Do I have to charge the lodging tax on my sites?
Revenu Québec states that the taxe sur l’hébergement does not apply to the rental of a camp site. Grondia keeps it off until you switch it on, so software written for Europe does not quietly add a charge you are not meant to collect. If you also operate in another province, the setting is per property.
How can guests pay?
Interac Debit at the terminal, Interac e-Transfer for a deposit taken online, and Visa, Mastercard, Apple Pay and Google Pay alongside them. Seasonal accounts can be collected by pre-authorized debit, and every payment lands back on the booking it belongs to.
Is the guest side bilingual?
Yes. The booking engine, the guest portal, the emails and the receipts run in French and English and the guest chooses. That matters in Quebec, and it matters for Quebec guests camping anywhere else in the country.
