Guests pick the site, not just the dates
Regulars have a favourite: the one at the end of the row, the one nearest the washrooms, the one that takes a travel trailer without a shunt. Reservation software that lets a guest choose that exact site on a live map sells more nights than software that hands out a category and leaves the office to sort it out on arrival.
The map is the one your staff work from during the day: arrivals, departures, holds and maintenance blocks, colour coded and draggable. The grid updates as you let go, and your website reflects it in the same instant. There is nothing to sync at the end of the day, because there is only one calendar.
Rates and rules that hold on a long weekend
Minimum stays over the FĂŞte nationale, Canada Day and the August long weekend, arrival-day rules for seasonal campers, shoulder-season rates that soften a Tuesday in June: each is set per unit type and per date range and enforced when the booking is made, so your rules do not have to be defended on the phone.
Deposits are taken at booking and balances before arrival. A cancellation resolves itself against the policy attached to that rate: the fee calculated, the refund sent through the original payment method, the site back in availability.
Arrivals without a line at the office
The guest portal runs the arrival before the arrival. A party completes check-in on their own phone, pays the balance and carries a digital guest card, so late arrivals stop being a problem to solve in the morning.
Where the property has a gate, a smart lock on the washrooms or a self-service kiosk, Grondia connects to it. The portal, the emails and the receipts run in French and English, and the guest picks.
Nothing per booking, and the guest stays yours
A listing site brings reach a single property cannot generate alone, and charges a percentage of every night for it. Grondia charges nothing per booking: no percentage, no per-reservation amount, and no fee added to what the camper pays. The booking engine sits on your own website rather than behind a redirect.
That is also where the guest relationship stays. The email address, the preference for site 14, the family that comes back the same week every August: those belong to your record rather than to a portal that rents them back to you next season.
What happens after the booking
A reservation that is only a reservation leaves you a second system for the store and a spreadsheet for everything else. In Grondia the same record carries the guest account: firewood and propane from the store, the canteen, a kayak for the afternoon, all settled once at departure.
GST and QST ride on each line as it is added, so the receipt the guest gets and the export your bookkeeper imports into QuickBooks, Sage or Xero say the same thing. Payments run on Interac Debit and Interac e-Transfer, Visa, Mastercard, Apple Pay and Google Pay, and land matched to the booking they belong to.
Frequently asked questions
Is there free reservation software for campgrounds?
There are systems that cost nothing to sign up for and are paid for per booking, either as a commission or as a fee added to the camper’s price. Across a season that is usually the most expensive way to take reservations. Grondia is a flat subscription, so the five hundredth booking of the summer costs what the first one cost.
Can a guest choose a specific site?
Yes, on a live map of your property. If you would rather assign some unit types yourself, you can sell those by category and place them on the map when it suits you.
Does it work with the channels we already sell on?
Channels such as Booking.com and Google read the same availability as your own website and your front desk, so a site sold anywhere is removed everywhere in the same instant and rates stay in step.
Can we keep our current website?
Either way works. The booking engine embeds in the site you already have, or Grondia builds and hosts a campground website with the domain and certificate included. Availability stays in sync either way.
What happens when a guest cancels?
The cancellation reads the policy attached to that rate, calculates the fee, refunds through the original payment method and puts the site back into availability. Nothing is recalculated by hand and no refund is forgotten.
How long does the switch take?
About two weeks. Grondia moves your reservations, guest records and rates, builds the site map and trains your staff, and we plan the switch so it does not land in your busiest week.
