CampOne GmbH builds the Grondia software for campgrounds. Some features use artificial intelligence (“AI”), in particular large language models that understand and write text, and voice models that speak. This page explains where we use AI, which providers run it, who decides to use it and what control people have.
1. Our principles
- The campground decides. Two AI features are switched on by default for every campground today: the assistant for campground staff (“Ask AI”) and the email inbox assistant. Every other AI feature stays off until the campground switches it on for its own business. A campground can have any AI feature switched off at any time.
- A person decides. AI in Grondia suggests, drafts and answers questions. It does not make decisions about people that have legal or similarly significant effects. Where an AI feature prepares an action that matters, such as creating or cancelling a booking, a person at the campground confirms it, or the system asks for an explicit confirmation that the AI cannot give itself.
- Training. We do not use campground or guest data to train AI models.
- Where AI runs. Most AI features in the Grondia product run on Infomaniak AI in Switzerland. The exceptions use providers in the United States and are named per feature in sections 2 and 3: the settings assistant for campground staff (OpenAI), the AI desk where it is set to use OpenAI, the AI phone assistant (ElevenLabs and Twilio, with language models from Anthropic and OpenAI), and, for Grondia’s own business, support (Anthropic) and replies to demo requests (Anthropic or OpenAI).
- Protection against manipulation. In the Grondia product, text that comes from guests is filtered before it reaches the model, to reduce the risk of manipulation (prompt injection).
2. AI features in the Grondia product
| Feature | What it does | Who interacts with it | AI provider and location | Human control |
|---|---|---|---|---|
| Assistant for campground staff (“Ask AI”), on by default | answers questions about bookings, availability and figures; can prepare bookings and cancellations | campground staff | Infomaniak AI, Switzerland; the AI desk (beta, off by default) can instead be set by Grondia to use OpenAI, L.L.C., USA | staff confirm every booking change; the system rejects changes the AI tries to confirm itself |
| Settings assistant for campground staff | answers questions about the software’s settings and proposes setting changes | campground staff | OpenAI, L.L.C., USA; receives no guest data by design | deals with settings only and makes no decisions about people |
| Reports assistant | analyses the campground’s own figures in plain language | campground staff | Infomaniak AI, Switzerland | staff read and decide |
| Chat on the booking page | answers guests’ questions about the campground, availability and prices; can start a booking request | guests | Infomaniak AI, Switzerland | in some configurations the chat can create a pending booking, which needs the guest’s explicit confirmation |
| Email inbox assistant, on by default | reads incoming guest emails, recognises booking requests, cancellations and notes, and drafts replies | campground staff (the guest’s email is processed) | Infomaniak AI, Switzerland | staff decide on every booking proposal; replies drafted by AI (a separate feature, off by default) are shown to staff for review, but a campground can set a confidence threshold above which the reply to an accepted request is sent automatically, without review (threshold off by default) |
| AI phone assistant | answers calls outside opening hours, gives information, records booking requests | guests calling the campground | ElevenLabs, Inc., USA (voice and conversation), with language models from Anthropic (Claude) and OpenAI, USA, used through ElevenLabs; Twilio Inc., USA (telephony) | callers choose the AI option in a menu and are told, before the conversation starts, that they are talking to an AI and that the call is transcribed; every call is passed to staff as a transcript; booking requests are confirmed by staff. Beta, off by default; used only where it has been switched on for a campground |
The campground that uses a feature decides how it is used with its guests and is responsible for informing them, for example in its guest privacy notice. We give campgrounds the information and text they need for that.
3. AI that Grondia uses for its own business
| Use | What it does | Provider and location | Human control |
|---|---|---|---|
| Replies to demo requests | drafts the first reply to a demo request made on grondia.com | Anthropic (Claude), USA, or OpenAI, L.L.C., USA | the AI makes no decision about the person who made the request |
| Support requests from campgrounds | sorts incoming support requests and drafts replies | Anthropic (Claude), USA | support replies may be drafted by AI and sent without review by a person; they are signed “Grondia Support” |
| Job applications | no AI is used to screen, rank, assess or reject applications | none | a person reads every application |
4. Labelling of AI content
- Drafts in the staff interface. Replies drafted by AI are marked as AI drafts in the staff interface.
- Published content. Where we publish AI-generated text to inform the public on matters of public interest, we disclose it unless a person has reviewed it and an editor takes responsibility (Art. 50(4) AI Act).
5. Automated decisions and your rights
Grondia does not make decisions based solely on automated processing that produce legal effects or similarly significantly affect a person (Art. 22 GDPR, Art. 21 revDSG). If this ever changes, we will tell the people concerned, explain the logic involved, and give them the right to express their view, to contest the decision and to have it reviewed by a person.
Guests who have questions about AI used by a campground should contact the campground, which decides on its use. For AI that Grondia uses itself, contact hello@grondia.com. More on data protection in our Privacy Policy.
6. Changes
We update this page when we add, change or remove an AI feature or provider.
